Job Title: Administrative Assistant Location: Limassol
The Admin Assistant will provide administrative and financial support to the finance team and other departments, assisting with procurement processes, invoice handling, basic reporting, and office administration. The role requires strong attention to detail, good organizational skills, and the ability to support routine financial and operational activities in an accurate and timely manner.
Key Responsibilities:
Procurement & Payments Reconciliation:
•Process purchase requisitions and purchase orders under supervision, ensuring accuracy and timely approvals.
•Match and reconcile invoices against POs and payment registers.
•Maintain supplier records and assist with routine communications and follow-ups.
Billing & Contracts:
•Assist in processing invoices and billing milestones.
•Help maintain records of contracts and agreements.
Data & Reporting:
•Support basic budget tracking, helping identify and report simple variances.
•Compile basic financial and operational data for reports.
•repare simple summaries or tables for management review.
Administration:
•Assist with office tasks, including inter alia, scheduling meetings, travel arrangements, and maintaining supplies.
•Organize and maintain financial and project documentation.
•Provide ad hoc support to the finance team and other departments as needed.
•Prepare and post accurate journal entries in accordance with accounting standards.
Qualifications and Skills:
•Currently pursuing or recently completed a Diploma or bachelor’s degree in business administration, Accounting, Finance, or a related field.
•Strong interest in learning procurement, invoicing, and basic accounting processes.
•Basic understanding of accounting or finance concepts (academic knowledge is sufficient).
•Proficiency in MS Office, especially Excel (basic formulas and data entry).
•Strong attention to detail and willingness to learn.
•Good organizational and time-management skills.
•Clear communication skills and ability to work well with team members.
•Ability to follow instructions and work under supervision.
•Positive attitude, reliability, and eagerness to gain practical experience.
