Main Responsibilities
Monitor all security guards' movements across all Departments, including embarkations, disembarkations, and replacements, ensuring their completion according to each Department’s Standard Operating Procedures.
Report all completed movements promptly and accurately to the designated person.
Monitor and manage all Departments’ mail correspondence and chat applications’ group communications, including interactions with team leaders, security guards, port agents, and vessels. Respond appropriately and report to the Duty Officer and relevant departments.
Address the operational and HR needs of security guards, such as flights, transportation, documentation, and contracts, ensuring all requests are handled promptly to avoid or resolve any issues.
Operate the 24/7 Operations call centre after office hours, responding professionally and either addressing or forwarding issues to the Duty Officer or relevant department.
Handle after-hours requests from managers and supervisors, including coordinating tasks, revising or issuing new flight tickets, and contacting guards, agents, and vessels under the Duty Officer’s supervision.
Ensure inspections are conducted according to established procedures, report any discrepancies, and notify providers if further inspections are needed. Inform the relevant department and Duty Officer of any issues.
Collect and relay all necessary information regarding incidents onboard vessels or at ports to the Duty Officer for further instructions.
Assist with urgent or ongoing medical cases, following the Duty Officer's instructions. Support provisions’ and necessities’ requests for security guards, in coordination with the Duty Officer and relevant Department personnel.
Keep the Duty Officer informed of all events, matters, issues during the shift and seek guidance when necessary.
Assist the Duty Officer with tasks including but not limited to upcoming Seal Check operations and the uploading of relevant Seal operation container unit lists.
Handle day-to-day documentation procedures such as daily reports, evaluation reports, embarkation/disembarkation documents, etc.
Ensure a thorough handover to the next shift operator, informing them of current or upcoming issues, procedures, pending maters and actions. Coordinate with the Duty Officer to confirm the handover was properly communicated to relevant departments at the end of each shift.
