Main Responsibilities
Administration / Instructions Emails - Distribute HR Pack and administrative instructions to all guards, before deployment, and ensure that all documents are received in good order before the assignment. Notify HR Line Manager of any anomalies or issues.
Maintain records of promotions on board the vessels.
Certificates - Verify mandatory certificates prior to assignments and arrange medical examinations according to the client's requirements.
Contracts & Extensions - Prepare the agreement between the company and the guard.
Travelling / Instructions Briefing - Arrange briefings, through email and communicate with the guards before each assignment, with all necessary info, including travelling, flight tickets, visas, OKTB, etc. –
PANGEA Updates - Keep a fully updated PANGEA profile of each guard with all relevant files, movements, contracts, etc. and will review it on a daily basis to ensure it is up to date.
ISO – MLC – GDPR Requirements - Ensure that all necessary ISO / MLC files, records related to the HR, are properly and securely filed and kept available, as per company, ISO and GDPR requirements.
Assist the HR Line Manager with daily tasks and be available to support the HR Supervisor.
Collaborate with Crewing Officer to handle refunds and expenses.
