The Library of the Cyprus University of Technology evaluates its collections in frequent time intervals in order to determine whether the collections meet their target in material category as well as the subject covered. This evaluation will show if there is a need for ordering new material, if some collections need to be reinforced with more copies, whether used material needs to be preserved or replaced. The evaluation will also show if there are any needs for accepting donations or for withdrawing material.

The selection of the material is being done based on the propositions that are filed from the members of the University departments and the Library staff. The propositions are sent from the departments to the Library where they are being evaluated in terms of their subject and their cost (based on the annual budget of each department) and then the availability of the material is checked with the publishers. All the orders are registered in the automatic catalogue from which the copies ordered are being checked for multiplicity.

Ordering multiple copies is acceptable only under the following conditions:

• High demand that is being shaped in special occasions, such as the coherent use of the book in teaching, its characterization as a classical document, its integration to the special short loan collection, etc.
• the natural condition of the material which denotes frequent use and damage.
• The fact that it is general informational material (e.g. dictionary, encyclopaedia) which is important in more than one locations.
