Acquisitions Office


Audiovisual Material and Databases Office

  • Collects the suggestions for the purchase of audiovisual material and makes sure that the best supplier is found through tenders.
  • Oversees the processing of the audiovisual material and the databases.
  • Checks the collection, informs the suppliers for late material arrivals or any impairment or loss.
  • Dispatches the material to the departments. Responsible for the renewal of the memberships.

Printed Material Orders Office

  • Collects, checks, coordinates and processes all the material orders of the Library and its branches.
  • Follows up the orders, attends for the early collection of the material, and is responsible for the update of the order status.
  • Checks the suppliers invoices and forwards them to the Service for Finances for payment.

Printed Material Acquisitions Office

  • Collects and registers all the Library material and attends for the dispatch of the material to the Cataloguing Office.
  • Checks the collection, informs the suppliers for any late material arrival or for any impairment or loss.
  • Dispatches the material to the branches.

Journal Publications Office

  • Collects the suggestions of the departments for the purchase of journals and attends for the best supplier through tenders.
  • Oversees the processing of the journals.
  • Checks the collection, informs the suppliers for any late material arrival or for any impairment or loss. Dispatches the volumes to the branches and attends for the filling of the series and the dispatch of the completed volumes for binding. Attends for the renewal of the subscriptions.

Circulation and Information Desk


The Library maintains two circulation and information desks (Central Library, Library of the Health Sciences).

The Circulation and Information Desk provides:

  • Borrowing services
  • User Support services
  • Interlibrary loan services
  • Bibliographic search services
  • Also has the following duties:
    • receives books and other classified and catalogued material and puts it to the bookshelves.
    • informs the library users about the Library Rules.
    • attends to the preservation of the material as well as the equipment of the study rooms.
    • performs the tasks of book borrowing and attends for the observance of the order of the material at the bookshelves, as well as for the preservation of the material in a good condition and dispatching any impaired material to the Conservation Sector.
    • is responsible for the interlibrary loan service from and to other libraries.
    • is responsible for the early return of borrowed material and its preservation.
    • receives the fines for delayed returns of material. Also responsible for the Library income from the services provided with a charge and then dispatches the income to the Service for Finances.
    • carries out the annual inventory of the material and sends the results of the inventory to the Library Director.
    • carries out the orders of scientific journals.
    • directs the users in the bibliographic searches.
    • is responsible for printing the membership cards and issues the necessary certificates of "material surrender" for the graduation of the students.
    • organizes seminars for the students and the academic staff for using OPAC, the databases and the Library services.

The education office has the following action directions:

  • Education of the Library users. The aim is to educate the users in the methodology of information search, in the methodology of comparison and evaluation of the sources, and in the detection of the necessary tools for the processing of the above. The user education also includes educating the members in using the library and its electronic services.
  • The publication of educational informational brochures for the Library services.
  • The development of online education aids (online tutorials and user manuals) in cooperation with the Technical Support Office

Regarding the library staff the education includes:

  • training in the use of the LMS (Library Management System),
  • training in the use of the electronic services of the Library

Cataloguing Office


 

Cataloguing Office

  • Carries out the processing of the material of the library and its branches.
  • Inserts the data to the library system.
  • Applies the rules for the creation of the authorities files.
  • Validates the incoming and outcoming records to/from the Union Catalogue.
  • Defines the politics for cases that are not covered by the general standards and attends to the relevant education of the personnel falling under this office.

Digital Collections Development Office

  • Is responsible for the administration of archived material.
  • Suggets methods for the exploitation of the material and contributes in the documentation and creation of digital collections.
  • Is responsible for the exposure and utiization of the archived material.
  • Is responsible for the preservation and safe storage of the protogenic material.

Authority Office

  • Attends to the observance of the cataloging rules and the immediate correction of the authority files
  • Collaborates with the Acquisitions Office for the observance of the same politics in cases that are not covered by the gerenal standards.

Subject Bibliographic Support and Collection Development Office


 

  • Collaborates with the academic/research staff to assure that the material and the Library services support the teaching, studying and the research at the University.
  • Gives advise for the use of the electronic informational sources per subject.
  • Prepares bibliographic studies for the studies and the reserach programs.
  • Prepares special bibliographies based on the livrary collections or other collections or bibliographies.
  • Collaborates with the Orders department for the development of the collections (tenders procedures, evaluations, material and equipment purchases).
  • Conducts seminars, lectures and prepares instructions for all the collection of information.
  • Helps studnets to determine and locate useful information about the programs, the thesis, the research.
  • Prepares statistical data for the absorption of allocations per department and per total budget and finds alternative solutions.
  • Develops the reference books collection at the Library, locates and orders new reference material.
  • Carries out studies for the evaluation of the collections.
  • creates and updates databases with statistical data rising from the Library services and the need to evaluate the Libarry.

Information Systems Support Office


 

  • Responsible for the collection and installation of hardware and software, the configuration of software and generally the good functionality of the Library machines.
  • Attends to the preservation and configuration of the Library automation system and the technical support of the Library staff.
  • Attends to the creation of reports from the library software systems.
  • Responsible for the development and evolution of web applications (website, databases).
  • Responsible for the support and configuration of the automation library system
  • Responsible for the development of digital library applications. The development affects both the material and the software. The aim is to use new search technologies and also to work on digitization and linking new information sources making them accessible to the CUT community.
  • Attends to the creation and update of the databases in order to cover the informational needs of the library.
  • Responsible for the publication of data collected by statistical analysis in the form of technical reports in printed or electronic format.
  • Promoting the application of innovation in the services and the departments of the Library.
  • Attends to the creation of descriptions and standards for metadata.
  • attends to the design of educational websites in different skill levels for the support and education of the users in information retrieval.
